Communication


Much has been written about communication over the years. Key components of an effective communication process involve several areas, including listening and preparation.

When preparing for a formal hearing or an informal meeting with management; it is important that the parties are clear on their respective roles and responsibilities. In preparing for a grievance meeting for example, the Job Steward or Labor Rations Representative should meet with the affected member prior to the meeting and ascertain the expectations of the member and the desired remedy that is requested. This may sound simple, but by checking assumptions and verifying information the chances for a successful outcome of the issue are greatly improved.

In terms of listening and communication, these concepts are important:

  • Listen to what others are saying. Don’t let your attention wander or drift.

  • Send the non-verbal message that you are listening.

  • Posture yourself in a manner that gives recognition to those speaking.

  • Avoid early evaluations. Don’t make immediate judgments or guess about the content of a conversation. This is especially important regarding an adversarial situation. Early conclusions drawn lead to misinterpretation and poor communication.

  • Avoid personalizing or becoming defensive.

  • Check your assumptions and paraphrase: Put the comment in your own words and say it to the speaker: “As I understand your situation, you were not given sufficient training on your new job assignment.”

  • Take the temperature, listen and observe the speaker. Determine the comfort level of the other party, particularly in a pre-disciplinary situation. Insure that the person is as comfortable as possible in the proceeding.

  • Ask questions, seek understanding and clarification.
